Invoicing


In the invoicing bookmark of the client card, the finance details of a given client are displayed. Its total balance, overview of invoices and payments, as well as the payment discipline. In this offer, we can do accounting operations directly for the given client such as issue an invoice or make cash payments.

If there are some cancelled invoices or payments in connection to the client, you can display them here together with the others. Typically, these invoices and payments are not displayed so that it is better-arranged.

To make a cash payment, you first need to have a cash payment form filled in. Here, you will mark "add a payment" button those invoices which the customer will be paying for. It is, however, not possible for the client to pay only a part of the invoice; the total price stated on the invoice must be paid for in all cases. A short note may be joined to the cash payment. Other items may be joined to the refund of for example the hardware, UTP cable, mouse, etc. purchased in our firm´s store.

To add a new additional item and the overview of already added additional items. The additional items are often used for invoicing of the service interventions and reminders.

Here you talk about issuing of a separate invoice for a selected client. This is used for issuing invoices which are not generated in bulk. There may be refund for the service in the chosen period of time, which you mark in the table of services, added to the invoice. If the customer requires having the invoice sent by regular mail, mark this choice and this will automatically be included into the invoice issued. You can also issue a separate invoice with additional items only, or you can add these items to the service account. You can of course add other items (such as material, or the goods purchased in the store) to every separate invoice.

Payment breakdown for a year

The overview of all the issued invoices to individual services for the whole current year and coloured marking of the settlements status. Coloured distinction of the settlements statuses:

This choice allows you to select specific months which will not be invoiced throughout the year. You can edit the invoiced period for each service separately.

A lot of the ISPs use this settings such as a specific form of a discount when they have agreed with the client on the location of the AP, or as a reward for mediating a new client. As a reward they do not invoice them for several months as a thank-you gesture. It is an easy and quick way how to provide a client with the free Internet for several months without any intervention into the service or tariff settings.

The issued invoices of a client

The overview of all issued invoices for a specific year. Here you can very well see which invoices have already been paid for and which have not; the colour tinged statuses of the invoices allow a better orientation. Eventual over- or under-payments which are summed into the total balance of the client are shown for the invoices. At the end of each line, the application buttons are displayed, which allow you to do different operations with the invoices.



Total balance

States the current financial status of the client, the total overpayment and/or underpayment. You are thus informed immediately about the currently owed or overpaid amount of money.

This button shows only in case when you have set "Type of settlement" as "Postal money order" in the details of the client. The issued invoice will have in its bottome part text for printing on the paper with the postal money order of the Czech post.

The invoice preview which will be sent to e-mails of the client or which will be sent via the regular mail. The final form of the invoice is given by the "Type of settlement" set in the details of the client. Typically every invoice is issued as a classical invoice on the whole page of A4 format. If the "Type of settlement" is set to "¨Postal money order", the issued invoice will have a sample for filling in of the real postal order in the bottom part of the page.

Sending the invoice onto the client´s e-mail. If the icon is grey, it means that the invoice has already been sent. Upon moving the cursor above it, the date when the invoice was sent will appear. There is, however, the possibility to send the invoice again.


Details

Issued invoice details, a screen showing details for the selected invoice. According to the invoice status (not paid / paid), there are also buttons shown for edit or sending the invoice.

Customer´s cash payments

A list of cash payments for a chosen year; individual payments are displayed distinguished according to number rows. Each line shows items of the settlement and prices. At the end of the lines, there are control buttons shown.

Details

Detailed information screen about the cash payment where there is complete payment information listed in a well-organized way. In the bottom part of the screen, the payment history appears which records when was a specific receipt received.
