Add a new / edit a current contact
For adding a certain person into the system, you must add him as a new contact. By adding a new contact you only integrate a real person into the system. To make this contact a ful customer utilizing your services, you must consequently assign a required service in his client card.
Client number
A client number of every customer is saved in the database of the system. It is a unique identifier which the system later utilizes; that is why this number must be always unique. The client number or also client ID is also used as a contract number, as a variable symbol stated in the invoice for identification of payments, and as a default login name on the user interaface. Technically speaking, the client ID is used for marking and utilization of the client packets ( mangle ) while passing through individual Mikrotik routers.
The system itself will offer you the first free client number. It is advisable to use a number row starting with the current year, ie. 2009 or 09. When adding another client, the numbe offered will be higher by one. The client number may also be chosen individually, for instance when connecting a previously disconnected client.
It is possible to set manual or automatic assigning of the identification numbers within the system. Manual assigning is used mainly when you wish to keep the client numbers consistent with a previous system. Another possibility of manual assigning is keeping of certain rows of client numbers, for instance according to years. If you assign a client identification number manually, a new number will already appear to be preset when adding another client, only higher by one. Newly added clients thus may be easily marked by numbers: 20090001, 20090002, 20090003, etc. Marking the clients in this way will tell you at first sight when the specific client was connected, which may be useable in regards to the fact that the client ID is at the same time their contract number. Last but not least, this step also makes it better-arranged in the listings in different screens with the overview of users. Manual assigning of the client number may be used in case when you add an already disconnected client and you wish to assign the same number to them as was the previous one, which is useful when browsing the history and previously issued receipts.
If you do not feel the need to deal with former ways of assigning client numbers, you can select automatic assigning of the client numbers and the system will take care of it automatically. Thus choice eliminates the possibility of a human error because the field for filling the number in on the form will be hidden. The client number setting may be defined in the menu of Settings / System settings / General and the item typ_klient_number. This item may be changed any time and both the ways thus may be combined.
If you use manual assigning, there can be a collision of client numbers. The system automatically checks for these collisions so that each number is always unique and will announce any collision. Every change to a client number is moreover recorded in the history of changes in the client card.
If you chose automatic assigning of client numbers, the client numbers collision can never happen; the system still checks for the collisions of variable symbols (or specific symbols according to the invoicing settings) so that these are assigned always only to one conact.
User name
Fill in the surname and first name of the client being added.
Private person / Company customer
A private person is a general client. If the client added is a company or a firm, you must fill in also the identification number of the organization, the tax identification number, as well as authorized person.
Street, Postcode, Town/City, Country, Floor, Flat
The address details should be filled-in in detail, these serve for designate the residence address by means of the world-wide Google Maps server. After having filled in the address details, you can click on the button of
at the right part of the screen and the precise location of the contact´s residence in the integrated google maps window.
ID card number, Date of birth
Further personal details, deeper specification of the client´s identity; not necessary to be always filled in though.
E-mail, Phone number, Fax number...
Contact details for the communication with the client.
Mark the user
In this way marked customer appears as green colour tinged in the contacts list for distinguishing them from other users. You can describe the reason for coloured marking in the note and you can later solve this.
Access into the user interface
Shows the login details needed for the first access into the client part of the ISP admin system. The client number is defaultly set as a user name, you can, however, set also your own user names by changing the item tech_support_login_name onto the "1" value in the menu of Settings / System settings / User interface.
Fill in your own password or click on Generate password and the value in the password field will be replaced by a random number. The client may change their password any time and you again can force the change in the settings of the user interface after the first login.
Group
Every client may belong to a certain group Settings / Codebooks / Client groups. For example, Company employees, VIP, etc. There is no need to fill in the prefix of the group.
Status
You can mark in what relation the client stands towards you, eg. Connected, Disconnected, Suspended, New user, Current user, etc... Settings / Codebooks / Uses status
Send invoices via regular
mail if the customer prefers this option of communication. Sending invoices via regular mail is charged for by a price under the code of 001 in the menu of Invoicing / Settings / Payments typed. If sending invoices via regular mail is set and the price is not set on "0", to every generated invoice item of "Sending invoices via regular mail” will be added.
Individual price
This option will be accessible when you allow sending invoices via regular mail and it serves for setting an individual price for sending invoices via regular mail; typically for the firms and companies we can set an individual price on "0".
Send invoices via e-mail
Sending invoices each month to an e-mail address stated in the client card. YES set defaultly. It may be set together with sending invoices via regular mail as well as to an e-mail.
Do not send reminders automatically
Have this unmarked as a standard; sending reminders to general users is a common procedure. If there is the case of a VIP client, a company employee, or larger or regularly paying company, it does not have to be necessary to send reminders to these clients.
Identification number of organization and Tax identification number
These data to be filled only in case of self-employed people and companies.
Bank account
The number of the client`s bank account.
Different customer`s address
Fill in in case the address of the extension-line is different than the billing address of the customers who purchase the service. For example firm subsidies and stores, or parents who pay for the Internet for their children studying at univeristies.
Initial financial status
If you are switching from the old system to the ISP admin and the client has some overpayments or underpayments, file these here. Then in the bookmark of Invoicing / Initial status where the initial status will be shown as an over- or under-payment from the previous periods; save the record and the initial statuses will be cleared. By doing this, these will be initiated into the invoice and you do not have go back to the financial balance from the previous system. Thus all the initial statuses of the clients will be carried into the system.
Returned contract
Note on signing a contract, you can mark Returned / Unreturned, or complete with a date when this client returned the contract.
Invoicing group
Each client belongs into some certain invoicing group which represents the provider`s company. If you are an independent firm, it is enough to create an invoicing group. Some of the ISPs, however, comprise of more firms and thus they need to administer invoicing in more invoicing groups in which each firm stands alone.
Each invoicing group contains its own logo and stamp for generating own invoices. Also all the details such as number rowss, invoicing, statistics or clients are administered separately.
Adding new or editing current invoicing groups may be done in the bookmark of Invoicing / Settings / Invoicing groups.
Settlements type
The way of paying for the issued invoices. Most often a bank transfer or a postal money order is used. Editing the payment type may be done in Invoicing / Settings / Settlements type. Here you mark those settlements type which you will use. Types - Bank transfer, Money collection, Collective bills, and Postal money order - are system and cannot by changed, other types may be added according to your needs. If the item is marked as Default, it is also prefilled when adding a new client.
The number of collective bills
Fill in the field if collective bill (Czech service called SIPO) is chosen as settlements type. Otherwise the field is inactive. Because of the set Collective bill it is necessary to fill "Client link number” which serves for generating collective bills file for the Czech post.
The name of a contact person is the only obligatory item, you can also fill in Function E-mail Phone number
...A note to a specific contact (deciding about the connection, leaves the competition, repeatedly calls about unnecessary stuff, high pings, frequently restarts the client router, wants an individual price, hack the network, downloader, problems with the police about the reported IPs, etc... )
